FC Birmingham Refund Policy

Official refund, withdrawal, and financial responsibility policy for all Academy programs.

8.4 Refunds, Withdrawals & Financial Responsibility

FC Birmingham operates on an annual budget model. Player fees directly support coaching, field rental, league registration, referees, equipment, and operational costs that are committed in advance for the entire season. Because these expenses are incurred whether a player participates or not, the following refund policy applies to all Academy programs.

1. Non‑Refundable Deposit

The Commitment Fee (deposit) is 100% non‑refundable under all circumstances. This fee secures the player’s roster spot and is immediately allocated toward club expenses.

2. Refund Eligibility

Refunds are only considered under the following circumstances:

  • • A season‑ending injury occurring before the first league match, with medical documentation.
  • • A family relocation outside a 50‑mile radius of Birmingham before the first league match.
  • • Club‑initiated removal for reasons unrelated to player or parent conduct.

All approved refunds are prorated based on the date of withdrawal and services rendered. Administrative fees may apply.

3. Situations Not Eligible for Refunds

Refunds are not issued for any of the following:

  • • Change of team, coach, or training schedule preference
  • • Conflicts with other sports or activities
  • • Player, parent, or family dissatisfaction with playing time
  • • Voluntary withdrawal after accepting a roster spot
  • • Temporary injuries or short‑term absences
  • • Suspension or removal due to violation of club policies

4. Payment Plans & Financial Responsibility

Families who select a payment plan are financially responsible for the full season fee, regardless of withdrawal, unless a refund is approved under Section 2.

Missed or late payments may result in:

  • • Suspension from training or matches
  • • Removal from the roster
  • • Ineligibility for future seasons

5. Uniforms & Additional Costs

Uniform purchases are handled through third‑party vendors and are non‑refundable. Tournament fees, travel costs, and optional programs (such as futsal) are also non‑refundable.

6. Hardship Review

Families experiencing extreme hardship may submit a written request for review. Hardship consideration does not guarantee a refund. All decisions are final.

7. Authority & Final Decisions

The FC Birmingham Board of Directors maintains final authority over all refund decisions. No coach, team manager, or staff member may override this policy.
